A customer recently reported scanning 60,000 pages in a single day with a Spectrum model 8125. While that's fairly common, other owners of high-speed, high-volume scanners sometimes ask us why their scanning operations do not achieve these remarkable daily duty cycle numbers.

A host of factors can affect a production scanner's daily duty cycle. The two greatest influences, however, have little to do with the scanner's rated speed. To maximize a scanner's productivity, one must take into consideration batch size and the average time the scanner operator spends switching batches. Yet, these factors often are overlooked.

Take, for example, the Spectrum 8125, which has a speed of 125 pages per minute (ppm). If its average batch size is 20 pages and the scanner operator spends 30 seconds on average switching from one batch to the next, that imaging operation can only scan an average of 14,545 pages in a single, eight-hour shift [(20/125 x 60)/(20/125 x 60 +30) x 125 x 60 x 8 = 14,545].

If the scanner operator increases the batch size to 50 or 100 pages, in a single shift the same scanner can handle 26,667 or 36,923 pages, respectively. And if the scanner operator is able to reduce the batch switching time to 15 seconds from 30 seconds, the scanner can process 45,714 pages in a shift with 100-page batches.

Able to scan up to 500 pages per batch, the Copiscan® 8000 Spectrum scanners offer a variety of state-of-the-art features to help operators maximize batch size and reduce the average time required to switch from one batch to the next. Among them:

• Advanced paper feeding and handling technology to maximize paper separation between documents of varied thickness, sizes and shapes, and thereby reduce the time spent recovering paper jams the No. 1 threat to productivity.
• Auto Color Detect technology to automatically scan bitonal and color documents in a mixed batch, without pre-sorting or patch coding.
• Two-level auto feeders that reduce batch switching time.
• VirtualReScan (VRS) technology which, with its automatic cropping and deskew features, helps maximize batch size by allowing the operator to scan mixed documents of varying sizes rather than manually sorting them. Yes, all Spectrum scanners are color upgradeable. Determining which upgrade you need depends on what firmware version you have.

To view your scanner's model number, turn the scanner on or, if already on, press the CLEAR button on the front panel. In the lower left-hand corner of the scanner's LCD display, you will see the model number. Match up this model number with the one listed in the first column in the table below.

To see what firmware version resides on your scanner, just click the left arrow key on the front panel of the scanner until you see "Code Revision Numbers" on the LCD display, then click the "F3" key for "Next" and the firmware version will be displayed above "Scanner Rev." If the scanner displays a number less than 2.0, then match up your scanner's model number with the upgrade you would like in columns 2-4. If the scanner displays a number equal to or greater than 2.0, match up your scanner's model number with the upgrade you would like in columns 5-6. Yes included in the VRS CD is a utility that will restore the true default values.

The "Return to Default Value" utitlity will replace any saved values in the default profile and return them to the original factory defaults. This is very useful when having image problems while using certain profiles.

Absolutely yes. All Spectrum madels can scan documents up to 40" or 1,016 mm in length using VRS.

To use the long document support, page size must be set to "Maximum" and the "Continuous Page" must be selected.

Yes, all Copiscan® 8000 Spectrum models scan in grayscale as well as bitonal, including all Spectrum color models. See the chart below for grayscale throughput per resolution, per model. Note: Spectrum scanners can scan as fast in grayscale as bitonal units, and bitonal/grayscale units can be upgraded to color at any time.

This guide was written to help you maximize document throughput of your Copiscan 8000 Spectrum Scanner when scanning in color, while also drawing your attention to the relationship between some of the scanner's functions and its performance. Please follow the steps below and note the positive impact on your scanner's performance as you complete each one.

Step 1 - Use a Fast PC

We recommend the use of a Pentium IV 1.6 GHz or faster, 512 MB RAM or better.

Impact: up to 60% in color duplex at 200 dpi dots per inch (dpi)

Step 2 - Set Your Application to Scan in Color

Since all steps below apply mainly for color scanning, please ensure that your scanning application software is set to scan in color. To do this:

• Start your application
• Select Color for your Image Output Type or Color Mode (the exact wording may vary per application)
• Select a resolution in dots per inch (dpi) in Scanner Settings
• 150 dpi is recommended as the best setting to maximize throughput and image quality while minimizing file size

Step 3 - Disable Image Viewer in Applications Using Image Controls

To maximize document throughput, you should disable your software scanning application's viewer if your software uses a version of the ImageControls® driver that was released before version 3.75. If you are using ISIS, TWAIN or ImageControls v. 3.75 (or later), please move on to Step 4.

• To check which version of ImageControls your application uses, click on the Help menu option on your application's toolbar, select About and look for the version number
• For example, your version of VCDemo, a demonstration scanning application that comes with your Spectrum scanner, might display "ImageControls V3.702.04"
• If it displays this or another version of ImageControls released earlier than 3.75, click Source on the VCDemo toolbar and uncheck Display While Processing
• If you're using another application, please follow the step above but keep in mind that different applications may describe the same functionality in different ways

Impact: up to 45% in duplex color at 200 dpi

Step 4 - Set JPEG Compression in Both Your Application and in VRS

In your scanning application:

• From the toolbar, click File and Storage Format (may be worded somewhat differently)
• Select JPEG as both File Type and Compression Type, and click OK
• Please Note: in some applications JPEG compression will automatically be selected as file type and/or compression type when color is selected as image output type

In VRS (VirtualReScan):

• Open the VRS Interactive Properties dialog box by right clicking on the VRS logo in the lower right hand corner of your PC screen, then select Preview
• Click the VRS Profile tab, select the Default settings profile and click Load
• Click the VRS Options tab and click the Special Features button - this will launch the VRS Advanced Properties dialog box
• Click the VRS Color tab, click the JPEG Compression Enabled checkbox and click OK
• Go back to the VRS Profile tab, click Save and then click OK

Impact: 50%+ in color duplex at 200 dpi

Please Note: Spectrum JPEG compression is available in hardware as a function of the scanner's EGSA board. This allows each color image to be compressed at the rated speed of the scanner according to the step above. If the scanner's hardware compression is disabled and the application is set to a compressed format (i.e. JPEG), then VRS compresses via software. This will slow down the scanner's throughput by more than half. In addition, if hardware JPEG compression is disabled and any software VRS functionality is enabled (see Step 5 for details), VRS will decompress each image in software, perform the operation(s) and recompress the image, thus lowering throughput even further.

Step 5 - Disable Any Non-Essential VRS Software Features

Disable any of the following VRS software features that you do not need in your particular application:

• Deskew - make sure there is no check in the checkbox next to the Deskew option on Skew tab in the VRS Interactive Properties dialog box (if there is a check, click on the checkbox to remove it)
• Rotation - click on the Rotation tab in the Advanced Properties dialog box and select a value of zero for both front and back page rotation
• Annotation - click on the Endorser tab in the Advanced Properties dialog box and click the No Endorser and No Annotation checkbox or, if you are physically imprinting on each scanned document, click the Enable Mechanical Endorser Only checkbox
• Barcode and patch code recognition - disable through your scanning application

Impact: 30% in simplex color and 60% in duplex color at 200 dpi

Step 6 - Set Doc Prep and Hole Size

In 8125D models only, you can select the level of scanner sensitivity based on the degree of document preparation. Selecting AVERAGE lowers scanner throughput slightly and thus avoids "stream feeding" problems caused by excessive document skew at maximum throughput. To select doc prep, follow the directions below. If you have an 8100 or 8080 model, please skip to the next section of this step (before Step 7).

• From the home menu, press the RIGHT arrow key until you reach the USER SETUP menu. Press F3 NEXT until you reach the doc prep menu
• Press +/- to toggle between GOOD and AVERAGE document preparation
• Select GOOD if documents are well prepared and aligned, i.e. skew is less than 6°
• Select AVERAGE if documents are poorly aligned, i.e. skew is more than 6°
• Press CLEAR to return to the home menu

The entry and exit sensors on your scanner can be adjusted to ignore holes on the leading or trailing edge of a document, like three-hole punches, that may cause the scanner to detect false starting or trailing edges of the document. Use this setup procedure to adjust for the maximum size hole that may appear in the leading or trailing edge of your documents. To adjust the scanner sensors for holes, please follow the directions below:

• From the home menu, press the RIGHT arrow key until you reach the user setup menu. Press F3 NEXT until you reach the max hole size menu
• Press the +/- keys to adjust the hole size in increments of .05" (1.2 mm) set the parameter to a width just slightly larger than the holes in the paper
• Press the CLEAR button on the scanner to exit and return to the home menu

Impact: 12%+ in duplex color at 200 dpi

Step 7 - Set VRS Image Quality and JPEG Compression Level

All scanner throughput measurements are typically done with VRS image quality set to Good. However, you can also set the scanner to Better, Best or to a custom setting. Please keep in mind is that the higher the image quality the lower the compression level. To set image quality level:

• Open the VRS Interactive Properties dialog box
• Click the VRS Options tab and click the Special Features button - this will launch the VRS Advanced Properties dialog box
• Click the VRS Color tab
• Choose from one of three choices:
• Good - 65% image quality, medium compression
• Better - 85% image quality, low compression
• Best - 95% image quality, very low compression
• For a custom image quality settings, click the JPEG Compression Custom radio button next to the Good, Better, Best options and enter a compression percentage in the Value field
• Please Note: if you set image quality lower than 65%, you may experience poor image quality due to high levels of compression
• Close the VRS Advanced Properties dialog box

Impact: about 5% in duplex color at 200 dpi (depends on PC speed and document content)

Step 8 - Set Brightness for White Saturation

When scanning documents with white backgrounds in color, like standard office-use paper (referred to as “bond”), set VRS to retain a bright uniform white, also known as “saturated white, in your images instead of what may appear to be an off-white or a light gray. Not only will this image be easier to read, but file sizes will also be reduced. To do this:

• Open the VRS Interactive Properties dialog box and click on the Clarity tab
• Enter a value of between 60 and 65 in the Brightness field - exact settings may vary

Impact: about 5% in duplex color at 200 dpi

Step #1 - Read "Production Scanners" Section of the VRS Installation Guide

In order to properly set up your Spectrum scanner, please follow each and every step outlined in the "Production Scanners" section (pages 9-27) of the VRS 3.0 Installation Guide. If you follow the correct procedure, you should have your Spectrum unit fully installed within 15 minutes. If you have problems connecting your application software to the scanner once you have installed it, try reloading VRS again.

Step #2 - Choose the Right Scanner Driver

When you're ready to connect your application software to Spectrum, you will need to choose the appropriate scanner driver based on what toolkit your software was written with. To choose correctly, please refer to the following:

1. ImageControls" - select "Bell & Howell 8000 B/C with VRS with AIPE"
2. ISIS® - select "Kofax VRS Scanner" Please note:this driver was developed and certified by Pixel Translations
3. TWAIN - select "Kofax Software VRS - TWAIN"

Step #3 - Optimize Performance and Image Quality

We recommend that you change the VRS default brightness setting if you are scanning white bond paper in color and would like all of your images to retain a bright uniform white, also known as "saturated white", instead of what may appear to be an off-white or a light gray. To get saturated white, all you need to do is the following:

1. From your scanning application software, select Color for your Image Output Type
2. Open the VRS Interactive Properties dialog box and click on the Clarity tab
3. Enter a value of between 60 and 65 in the Brightness field. Exact settings may vary, depending on the type of documents being scanned
4. Go back to the VRS Profile tab, click Save As, enter a name to reflect your new default color setting, and then click OK

Step #4 - Ensure Optimal Image Viewing

When scanning in color, your PC display properties should ideally be set to "True Color (32 bit)" or "High Color (16 bit)" at a minimum for optimal image viewing quality. This can be set in the following way:

1. Open Control Panel from your Windows Start – Settings menu
2. Open Display and click on the Settings tab
3. Choose True Color (32 bit) from the Colors drop-down list

The multifeed detector can be set on the scanner to Stop, Notify, or Ignore the error.

When the scanner is set to ignore the multifeed detector will not sense all multifeeds.

When the scanner is set to notify, the scanner will beep only when it detects any multifeeds. But to correct the images, they must be fixed at the application.

When the scanner is set to Stop, the scanner will hold the multifeed pages at the exit rollers. At this point you have two options 1) by pressing the Multifeed Ignore button on the scanner to turn off the detection for that one page if it detected a sticker or something that needs to be on the scanned image or 2) by pressing the Clear button on the scanner will delete the last scanned image and will let you rescan the pages that multifed correctly.

When the scanner is loaded by the driver, The VRS icon will be displayed in the task bar. Right click the task bar and use the QC Modes options. From there you can select several ways of handling errors. See the Kofax VRS operators manual for more information.

On the scanner's front panel, press the "CLEAR" key, then press the right arrow key several times until the "Code Revision Numbers" menu is displayed, which will look like this:

Press the F3 "NEXT" key to display the scanner firmware version.

The number in the upper left-hand corner called "Scanner Rev." is the current version of your scanner's firmware.

Turn on the scanner and wait for initialization to complete. When ready, the scanner should display the home menu, which will look like this:

Alternatively, it may display a "LOAD PAPER" message.

On the scanner's front panel, press the "CLEAR" key, then press the left arrow key several times until the "Enter new scanner Key?" menu is displayed, which will look like this:

Press the F1 key (OK). The scanner display will show the code and key menu, with the code value pre-selected. Technical Support will ask you for this Access Code, so write down this 8-digit code and save it.

Enter the New Access Number

You will be prompted to enter the Access Number. To do so, use the scanner’s +/- buttons to enter each character of the Access Number, and left/right buttons to move from one character to the next.

Once you have entered the Access Number, press the F3 key (OK).

If you have entered the Access Number correctly, you will see the following screen displaying your new or current scanner model:

The model will vary but should display the updated version of your newly upgraded Spectrum scanner.

Important! Press F1 (OK) – if you forget step, your scanner will not be fully programmed. After pressing F1 you will then see:

If you have entered the incorrect Access Number, you will see the following screen:

You will then need to power cycle the scanner and repeat the process. If you think you have entered the correct Access Number but continue to receive the error, please contact Technical Support at (847) 423-3018 or Engsupport.scanner@bowebellhowell.com.

It depends upon which mode you are scanning: bitonal, grayscale or color.

Bitonal and Grayscale

Though your VRS interface, make sure that Deskew, Auto Crop and Edge Cleanup are turned on in the Clarity tab. These combined features serve as black border removal. If you still see black borders around the image, take a look at the black background bar for dust or dirt. Such things can be interpreted as part of the document and be picked up as the edge of the document image. The black background bar can be found inside the scanner, so open the scanner and wipe it down with one of the optic cleaning pads found in every Spectrum All-In-One consumables kit.

Color

Follow the same procedure outlined above for bitonal and grayscale scanning. The only difference is that Edge Cleanup does not need to be checked because this feature is not enabled for color scanning. If you still see black borders around the image after the VRS is set for deskew and auto crop and the black background border has been cleaned, there is another procedure you can follow that may help. However, you will need to know what is truly impacted by the procedure, so please read the following section carefully.

Further Color Black Border Removal Procedure

This procedure is intended to remove additional black border pixels, which are most commonly found around the bottom and right edge of color images. The risk of this procedure is that it is possible to overcrop the original document's borders by a few pixels, which will not be desirable if you scan documents that contain handwriting (often in patient records) or other important information located all the way to the edge of any of your documents. If there is no risk of losing such important information, please follow the procedure below:

1. Run VCDemo and select the scanner
2. Exit VCDemo - this is very important, otherwise the change you make below will be lost when VCDemo is exited
3. Go into your windows directory, find and open the file "kfxscsi.ini" - this file is often found in the C:WINNT directory
4. Copy the file "kfxscsi.ini" to another location on your PC so that if you make a mistake with the live file, you'll have an unedited copy that you can default back to
5. Find the section called "[KfxScsi-B+H-8125]" - Please note: if you have an 8100 or 8080 model, the section will contain that model instead of "8125" and if you use multiple models with the same PC there will be a different section named for each model and you need to make this change in each model's section
6. Under this section, there should be an entry: "KfxScsi.Page.Dimension.Round.Up.Attribute.Value=1"; change this value to 0; please make sure the syntax and spacing is identical, otherwise it will not work properly.
7. Save the file; when you then run VCDemo or any other application, it will use this change

The following are step-by-step instructions to uninstall VRS software from a PC. Note: this procedure assumes that you have an Image Controls or VRS installation CD to re-install on the PC after the correct uninstall has been followed.

1. All steps to be run before installing version of VRS3.05 over 1.04 VRS or 1.05 VRS on your PC

2. Go to Windows Control Panels Add/Remove program, and remove ACE VirtualReScan from your PC.(Press "Yes to All" when prompted for file uninstall)

3. Next, Use the Windows Find Files program to find and delete all files with the following name patterns: Kofax200.ini, *310.*, bic*

Note: uninstalling VRS should not be necessary. However, if you want to downgrade your PC software from VRS 1.05 to VRS 1.04, VRS 1.05 host software needs to be uninstalled with this procedure and the scanner Avocet board would need to be re-loaded with VRS 1.04 firmware.

1. The Kofax VRS 4.0 package that is included in every new Spectrum XF shipping container, comes with a "Production Class" license number.
2. For the Spectrum XF, you must install the 650i SCSI interface PC/PCI card that comes with the package/scanner. The Kofax 650i part number 16700020-000 is on a white label on the PCB, BBH part number S006542. The Spectrum XF will not work with any previous versions of the 650i..
3. For the XF there are no "MV" or "HV" 650i PCBs. The scanner speed is resolved through the scanner hardware ID during the install process.
4. For best results uninstall the previous VRS from the scan station PC, using the Windows Add or Remove Programs. Remove ALL instances of "VRS" or "Kofax". You may also install VRS 4.00.119 over VRS 3.50.169.
5. To begin the upgrade, start or restart the PC, and log in with a user name and password that has Windows Admin rights. VRS 4.0 does not require that the USER have Admin rights, but for install it is necessary.
6. Insert the VRS 4.0 CD-ROM and follow the install process. Notes on the VRS install process can be found in PDF format on the CD-ROM.
7. When the install process asks for a scanner to be selected, choose the BÖWE BELL + HOWELL 8000 B/C. Not selecting the scanner and choosing "I will select my scanner later" will cause critical files not to be installed.
8. After the install process has completed you will be prompted to restart the PC. Select "No" and manually select from the Windows Start>Shut Down.
9. Once the PC has powered down, disconnect the AC line cord from the PC and install the NEW 650i into one of the PC scan station's PCI slots.
10. Close the PC and reconnect the AC line cord.
11. Connect the Spectrum XF via the provided SCSI-3 interface cable to the PC's 650i. NOTE. Always install any SCSI cable to the matching connector with full view of the connection. Do not force the connection or the male pins could bend and upon power up of the 650i and the XF EGSA interface, damage will occur to both boards.
12. Power on the XF scanner and view the scanner's OI until it reads "Load Paper".
13. Power up the PC scan station and log in.
14. Next, Windows Hardware Manager will install the new 650i card drivers and the Spectrum XF. If Windows does not install the Spectrum model XF, no need to worry. The Windows Device Manager does not handle the Spectrum XF.
15. After the process is complete, VRS 4.0 will be ready to use.

We recommend that the Multifeeds are handled at the scanner and in the VRS preview window to avoid having to open the application and having to rescan after the batch is completed. This will improve the productivity of the scanning process.

The most frequent error here is that the hardware has been installed before the software. Completely uninstall the software and the Kofax 650i card. Re-install the software, then install the card.

1. Completely uninstall any SCSI device (excluding a SCSI card driving a hard drive) from the Device manager.
2. Reinstall the VRS 3.05 CD.
3. Cold boot the PC.
4. Install Kofax 650i PCI SCSI card.
5. When Windows restarts, the proper drivers will be install for all SCSI devices, through the "found new hardware" wizard.

Bell+Howell Scanners cannot guarantee that you can solve problems that result from using Registry Editor incorrectly. Use Registry Editor at your own risk.

To resolve this issue:

1. From the WinXP desktop select Start>Search >. Enter in the following file name to search for; Setupapi.log This file is located in the Windows folder off the c:\ root directory. When the file is found, double click on the file with your mouse or select OPEN. A dialog box will open and ask you what application or program to run with. Select Notepad.

2. Go to the end of the file and note the last entries. Such as:

From Microsoft: Some scanners that exhibit this behavior were identified during Windows XP Beta testing, and these are already listed in the SpecialTargetList key in the registry.

Hardware Device Manager
1. Go to "Add Remove New Software". Delete "BH8000." Leave the file *.pxn files.

2. Disable (not delete) all B+H profiles in the Device Manager.

3. In the WinXP Device Hardware Manager, disable all the entries under Other Devices that are listed as Bell+Howell scanners.

4. SCSI device drivers should be updated via the Manufacture of the SCSI card.

5. Approved for use SCSI Mfg.

6. SCSI connections work with Kofax Adrenaline http://www.kofax.com or Adaptec http://www.adaptec.com/ SCSI interface cards. Your choice should depend on the transmission speed you need Kofax.

Spectrum VRS Uninstall Procedure

The following are step-by-step instructions to uninstall VRS software from a PC. Note: this procedure assumes that you have an approved version of VRS- installation CD, to re-install on the PC after the correct uninstall has been followed.

1. Start PC from an OFF condition. Do not start any instance of VRS or a scanning application that uses VRS.

2. Go to Windows Control Panels Add/Remove program, and remove any entries that contain Adrenaline, Kofax, VirtualReScan from your PC. (Press "Yes to All" when prompted for file uninstall)

3. Next, Use the Windows "Find Files" or "Search" program to find and delete all files with the following name patterns or file extensions: Kofax200.ini, *310.*, bic*. *Note. Windows may not allow some of the listed files that are in use, to be deleted. Skip over these files, as they may not be part of VRS. As long as the PC was started AND no instances of VRS or VRS applications were opened.

4. Reboot the PC and reinstall the version of VRS you require.

The following are step-by-step instructions to uninstall VRS software from a PC.

This guide was written to help you maximize document throughput of your BÖWE BELL + HOWELL Copiscan 8000 Spectrum Scanner whether you're scanning in color, bitonal or grayscale, while also drawing your attention to the relationship between some of the scanner's functions and its performance. Please follow the steps below and note the positive impact on your scanner's performance as you complete each one.

Step 1: Use a Fast PC

We recommend the use of a Pentium IV 1.6 GHz or faster, 512 MB RAM or better.

Impact: up to 60% in color duplex at 200 dpi dots per inch (dpi)

Step 2: Set Your Application to Scan in Color

Since all steps below apply mainly for color scanning, please ensure that your scanning application software is set to scan in color. To do this:

• Start your application
• Select Color for your Image Output Type or Color Mode (the exact wording may vary per application)
• Select a resolution in dots per inch (dpi) in Scanner Settings
• • 150 dpi is recommended as the best setting to maximize throughput and image quality while minimizing file size

Step 3: Disable Image Viewer in Old ImageControls Applications

To maximize document throughput, you should disable your software scanning application's viewer if your software uses a version of the ImageControls® driver that was released prior to version 3.75. If you are using ISIS, TWAIN or ImageControls v. 3.75 (or later), please move on to Step 4.

• To check which version of ImageControls your application uses, click on the Help menu option on your application’s toolbar, select About… and look for the version number
• For example, your version of VCDemo, a demonstration scanning application that comes with your Spectrum scanner, might display "ImageControls V3.702.04"
• • If it displays this or another version of ImageControls released earlier than 3.75, click Source on the VCDemo toolbar and uncheck Display While Processing
  • If you're using another application, please follow the step above but keep in mind that different applications may describe the same functionality in different ways

Impact: up to 45% in duplex color at 200 dpi

Step 4: Set JPEG Compression

In your scanning application:

• From the toolbar, click File and Storage Format (may be worded somewhat differently)
• Select JPEG as both File Type and Compression Type and click OK (if not using Auto Color Detect)
• Please Note: when using Auto Color Detect, the default File Type will be TIFF – this allows you to get either single or multipage TIFF output for both color and bitonal images; with this setting the color images are JPEG compressed and have a TIFF header
• Please Note: in most applications JPEG compression will automatically be selected as file type and/or compression type when color is selected as image output type

In VRS (VirtualReScan):

• Open the VRS Interactive Properties dialog box by right clicking on the VRS logo in the lower right hand corner of your PC screen, then select Preview
• Click the VRS Profile tab, select the Default settings profile and click Load
• Click the VRS Options tab and click the Special Features button – this will launch the VRS Advanced Properties dialog box
• Click the VRS Color tab, click the JPEG Compression Enabled checkboxand click OK
• Go back to the VRS Profile tab, click Save and then click OK

Impact: 50%+ in color duplex at 200 dpi

Please Note: Spectrum JPEG compression is available in hardware as a function of the scanner's EGSA board. This allows each color image to be compressed at the rated speed of the scanner according to the step above. If the scanner's hardware compression is disabled and the application is set to a compressed format (i.e. JPEG), then VRS compresses via software. This will slow down the scanner's throughput by more than half. In addition, if hardware JPEG compression is disabled and any software VRS functionality is enabled (see Step 5 for details), VRS will decompress each image in software, perform the operation and recompress the image, thus lowering throughput even further.

Step 5: Set Doc Prep (8125D models only)

If you have an 8100 or 8080 model, please skip to Step 7. In 8125D models, you can select the level of scanner sensitivity based on the degree of document preparation. Selecting AVERAGE lowers scanner throughput slightly and thus avoids “stream feeding” problems caused by excessive document skew at maximum throughput. To select doc prep, follow the directions below:

• From the home menu, press the RIGHT arrow key until you reach the USER SETUP menu, then press F3 NEXT until you reach the doc prep menu

• Press +/- to toggle between GOOD and AVERAGE document preparation
• • Select GOOD if documents are well prepared and aligned, i.e. skew is less than 6°
  • Select AVERAGE if documents are poorly aligned, i.e. skew is more than 6°
• Press CLEAR to return to the home menu

Step 6: Set Hole Size

The entry and exit sensors on your scanner can be adjusted to ignore holes on the leading or trailing edge of a document, like three-hole punches, that may cause the scanner to detect false starting or trailing edges of the document. Use the setup procedure below to adjust for the maximum size hole that may appear in the leading or trailing edge of your documents:

• From the home menu, press the RIGHT arrow key until you reach the user setup menu, then press F3 NEXT until you reach the max hole size menu
• Press the +/- keys to adjust the hole size in increments of .05 (1.2 mm) set the parameter to a width just slightly larger than the holes in the paper
• Press the CLEAR button on the scanner to exit and return to the home menu

Impact: 12%+ in duplex color at 200 dpi

Step 7: Set VRS Image Quality and JPEG Compression Level

All scanner throughput measurements are typically done with VRS image quality set to Good. However, you can also set the scanner to Better, Best or to a custom setting. Please keep in mind that the higher the image quality, the lower the compression level. To set image quality level:

• Open the VRS Interactive Properties dialog box
• Click the VRS Options tab and click the Special Features button – this will launch the VRS Advanced Properties dialog box
• Click the VRS Color tab and choose from one of three choices:
• • Good: 65% image quality, medium compression
  • Better: 85% image quality, low compression
  • Best: 95% image quality, very low compression
• For custom image quality settings, click the JPEG Compression Custom radio button next to the Good, Better, Best options and enter a compression percentage in the Value field
• • Please Note: if you set image quality lower than 65%, you may experience poor image quality due to high levels of compression
• Click OK and close the VRS Advanced Properties dialog box

Impact: about 5% in duplex color at 200 dpi (depends on PC speed and document content)

Step 8: Set Brightness for White Saturation

When scanning documents in color mode with white backgrounds, like standard office-use paper (referred to as "bond"), you'll want to set VRS to retain a bright uniform white, also known as saturated white, in your images instead of what may appear to be an off-white or a light gray. Not only will this image be easier to read, but file sizes will also be reduced. To do this:

• Open the VRS Interactive Properties dialog box and click on the Clarity tab
• Enter a value of between 60 and 65 in the Brightness field - exact settings may vary

Impact: about 5% in duplex color at 200 dpi

Step 9: Set Advanced Color Functionality

Auto Color Detect

When scanning documents with varying color content-some of which contain color you want to keep and some of which don't-you'll want to turn on Auto Color Detect. To do so:

• Open your application and set it to Color mode
• Scan one document that has the least amount of color information that you want to capture
• Open your VRS Interactive Properties dialog box and click on the Color tab
• Click Enable under Automatic Color Detection
• Move the Color Content Aggressiveness slider until the document image appears in color
• • Please note: setting Color Content Aggressiveness close to or all the way to “High” could trigger false positives - that is, documents that only contain bitonal information could be captured in color
  • If your document has a small color object that you want to capture in color, such as a logo, highlighting, notation in color ink, etc., click Enable under Small Color Object Detection and then move the Color Object Size Aggressiveness slider until the document image appears in color
• If you are scanning documents with color backgrounds, please read the next section otherwise, click OK and close the VRS Advanced Properties dialog box

Impact: total scanning throughput is increased up to 60%, from document preparation to scanning to managing scanned documents - this is in comparison to using patch code separator sheets or scanning color documents separately from bitonal.

Color Background Saturation and Dropout

When scanning documents with color backgrounds, both Color Background Saturation and Dropout will significantly reduce file size and increase image quality. To use this feature:

• Open your application and set it to Color mode (see Step 2)
• Scan one document that has a color background that you want to capture
• Open your VRS Interactive Properties dialog box and click on the Color tab
• Click Enable under Color Background Saturation
• Choose either Black, White or Smooth under Background Saturation
• • Smooth all background pixels are smoothed to the same value; the behavior of the Smooth radio button is dependent on the state of the Snap To White checkbox, which is subordinate to the Smooth radio button and is selectable and effective only when Smooth is chosen
  • • If Snap To White is selected and the background is close to white, the resulting background color will be white; the actual white color used is determined by the Brightness and Contrast settings in the located on the Clarity tab of the VRS User Interface
    • If Snap To White is selected and the background is not close to white, the background color is set to a smoothed color value selected by the EGSA firmware; this color value is an aggregate of the detected background color(s)
    • If Snap To White is not selected, the background color is set to a smoothed color value selected by the EGSA firmware, in the same manner as the bullet point immediately above this one
  • White - all background pixels are set to white and the Snap To White checkbox is disabled.
  • Black - all background pixels are set to black and the Snap To White checkbox is disabled.
• Move the Color Background Saturation slider until the document's background is either smoothed or dropped out (depending on your setting in the previous step)
• You're done, so click OK and close the VRS Advanced Properties dialog box

Impact: file sizes on documents with color backgrounds are reduced up to 40%

When using a Rubber Cleaner or Rejuvenator for cleaning scanner rollers, it is recommended to wipe the roller and surrounding area where the cleaner was applied. Use a soft cloth, warm water and mild soap over the cleaned area. Then wipe dry with a clean cloth. This will help prevent residues from and cleaner accelerating the following described conditions;

When the surface of roller is initially exposed to solvents or similar chemicals, it swells and softens the roller or rubber surface. In addition this could cause (sometimes desired) the pores on the roller or surrounding plastic area to open. Some Plasticizers* may be removed from the rollers or plastic during cleaning, which cause them to harden and become brittle. This can occur either immediately or over a period of time. All plastics used in general office equipment are susceptible to this condition, some more than others.

This statement does not necessarily promote the use of such cleaners, only cautions the user to their effects.

*Plasticizers are additives that give plastics flexibility and durability.

Image enhancement in completed with VRS. VRS has the ability to be able to improve the image quality before the image is passed to the capture application. It includes Auto Brightness, Contrast, Automatic cropping, deskew, edge cleanup, gamma correction. For more information see the VRS user guide.

Ultrasonic multifeed detection is the best way to prevent multiple documents feeding through the scanner at the same time. When these "multifeeds occur," the page on the bottom is not scanned and the data on that page is lost. Ultrasonic multifeed detection consists of two sensors: one above the paper transport and one below. The top ultrasonic sensor emits an ultrasonic wave through the document. Normally, only one document is being fed through at a time, causing this wave to pass through the paper and directly into the bottom sensor. If multiple documents feed through, small gaps of air get trapped between the pages. When the ultrasonic wave hits these air pockets, the wave bounces off in multiple directions and is not picked up by the bottom sensor. If the bottom ultrasonic sensor does not detect the wave, it stops the scanner's paper transport and indicates that a multifeed has occurred to the user. Thus, ultrasonic multifeed ensures that multiple documents don't feed through simultaneously and that no data is lost. Other technologies like length and width detection and infrared fall offer basic multifeed detection, but can be easily fooled.

Multifeed detection can also be turned off, if the user prefers. But a better method, is to ignore the multifeed by length. The "ignore by length" can be set up to a maximum of 10 inches. That will accommodate must documents that have things taped to them, stickers, or envelopes. Using the multifeed detector in that mode will still detect true multifed documents.

Spectrum Auto Color Detect

Spectrum's new Auto Color Detect (ACD) feature does exactly as its name suggests-it correctly identifies color documents from bitonal documents automatically, without slowing down or stopping, while scanning is in process. Even if you only wish to scan a small number of your documents in color, the advantages ACD affords via uninterrupted performance are unmistakable, such as increased document capture productivity and lower storage requirements.

How Auto Color Detect Works

Auto Color Detect, also referred to as, Automatic Color/Bitonal Switching, automatically selects either color or bitonal output based upon image content. When enabled, the scanner measures the color content per page. Just because an image has color content doesn't mean that it is meaningful enough to be output as a color image. Thus, users can set an aggressiveness, threshold through the VRS interface on the host PC. Whether an image is captured in color is then based on whether the color content exceeds the threshold or not. If the color content exceeds the threshold, the image is captured in color and output to the PC in color; if not, the image is captured in bitonal and output to the PC in black & white. Another way to think about it is that the higher you set the aggressiveness threshold, the harder the scanner looks for color. See the figure below.

Additionally, in duplex scanning, the front and back pages will have independent color detection and output so that the front side may be captured in color and the backside in bitonal, or vice versa.

Compression and File Output

Bitonal images are typically compressed with CCITT Group IV compression and output to the PC as bitonal TIFFs. Likewise, color images are compressed with JPEG compression and output to the PC as JPEGs. When utilizing Auto Color Detect, users need to set their application to scan in Color output mode so that images are automatically output to color JPEGs and bitonal TIFFs based on their color content (as determined by the user's color aggressiveness threshold). Additionally, users can set Output File Type to TIFF when scanning in color. This allows color images to be saved as color TIFFs even though they are still compressed with JPEG, the file actually is a JPEG compressed image with a JPEG header wrapped within a TIFF header. Users can also save all images in a batch to a single, multi-page TIFF that can have a mix of color and bitonal pages.

Auto Color Detect Thresholding

Depending on the variety of color documents and degree of confidence, users can set VRS to "trap" any images where the color content may be very close to the aggressiveness threshold and thus may need user intervention. Users can do this by setting not one but two Auto Color Detect aggressiveness thresholds through the VRS interface on the PC to determine if a document is color or bitonal. If the color content measured is less than the Color Minimum, the output will be bitonal. If the color content measured is more than the Color Maximum, the output will be color. If the color content measured is between these values, VRS will trap the image and allow the user to select either color or bitonal output for that specific image. See the figure below.

Small Color Object Detection

Like its name implies, this feature can detect a small amounts of color on an otherwise bitonal document, if that color is concentrated as a single object. Small Color Object Detection is intended to capture images in color for things like a highlighted text section or a small color signature with fine granularity. Otherwise, users would need to increase the Auto Color Detect aggressiveness threshold to a very high setting, which could result in false positives (documents with either bitonal or undesired color information being saved as color images). If you do not want to detect small color objects, this feature can easily be disabled.

Whether a small color object causes the entire image to be captured in color is based on whether the color content exceeds the additional Small Color Object aggressiveness threshold or not. If the color content of the small object exceeds the threshold, the image is captured in color and output to the PC in color; if not, the image is captured in bitonal and output to the PC in black & white. Another way to think about it is that the higher you set the aggressiveness threshold, the harder the scanner looks for small color objects.

Application and Driver Compatibility

ImageControls Applications

Auto Color Detect is compatible with all ImageControls applications, including software from AnyDoc, ReadSoft, Datacap, Doculex, FileNET, Kofax, LaserFiche, Liberty IMS, and Westbrook. ISIS Applications

Auto Color Detect has limited compatibility with ISIS-based applications due to the way each application handles bitonal images when scanning in color mode. This limitation can be addressed by modifying the application to support the Auto Color Detect feature. This application limitation only exists with the Auto Color Detect feature. All other Spectrum features will work with ISIS-based applications.

TWAIN Applications

Auto Color Detect is not yet compatible with TWAIN applications due to a limitation with the driver currently bundled with Kofax VirtualReScan (VRS). A solution is currently in progress and should be available in Spring 2005. This TWAIN limitation only exists with the Auto Color Detect feature. All other Spectrum features will work with TWAIN-based applications.

With this feature, you can save up to 40% in file space when scanning documents with color backgrounds. Spectrum does this by saturating or "smoothing" document image backgrounds into one uniform background. "Smoothing" refers to the automated process of modifying pixels to create a fixed, uniform background. This process removes both scanning and paper non-uniformity and will allow the image to be compressed more effectively.

Like with Auto Color Detect, users can modify a threshold setting to determine how "aggressive" the algorithm is in determining if a pixel is a background pixel. In general, with higher aggressiveness, more pixels will be considered background pixels and vice versa with a less aggressive setting. Either way, this feature will create more uniform document output for those documents with color backgrounds, which reduces file size by 20% to 40% on average, sometimes higher.

Background Color Dropout

Users can also drop out unnecessary color backgrounds altogether while capturing all color information in the foreground of the electronic image. This functionality presents a unique way to stretch storage capacity, preserve only "mission critical" information and tightly control storage costs. To utilize Color Background Dropout, users just need to select "White" as their color background through the VRS interface rather than saturated or Smooth. Similarly, a document's color background can be replaced with black if so desired.

Throughput is rated the following, in landscape mode with 8" x 11" paper in bitonal and grayscale:

As you may have heard us claim, Spectrum is the most cost-effective scanner on the market. What does this mean? How can we claim this when some other scanners cost less? The answer: we determine cost-effectiveness by considering all the costs associated with buying a scanner, which goes beyond just the scanner's list price and factors in other up-front cost components as well as ongoing costs. By reading through this page, you'll not only learn how to gauge the true cost of a production scanner but you'll also realize why Spectrum really is the most cost-effective scanner on the market.

True Cost vs. "List Price"

Contrary to popular belief, List Price or MSRP (manufacturer's suggested retail price) is only the starting point for determining your true scanner cost. The actual cost will most likely be List Price less a discount from your reseller, and will also include the cost, sometimes hidden, associated of other items you'll need to get your scanner up and running.

Initial Scanner Purchase Price

Many scanning users often have to justify the purchase of an imaging system by looking at all the costs over the life of the system. Most good quality scanners or better will last three to five years. Thus, to understand the true Total Cost of Scanning, you will also want to factor in ongoing scanner costs along with your initial scanner cost.

Ongoing Scanner Costs

All production quality scanners come with some form of warranty coverage lasting between 90 days and one year of onsite service. Additional coverage, such as upgrading a 90-day onsite warranty to one year and/or upgrading service response time to next business day, same day or even within four hours, are also available from a variety of service providers at an additional charge. In addition, users are able to replace their production scanner's rollers and lamps without needing to send the scanner back to the factory or needing a service call. Lastly, with proper cleaning with supplies provided by the scanner manufacturer, consumables need to be replaced less often, users will experience fewer jams and multifeeds, and less service calls will be needed. Thus, the following items are important in order to calculate the ongoing costs of scanning:

Calculating roller and lamp replacement costs can be difficult, particularly when comparing manufacturers. Here's how you can start:

Roller Replacement

* Only one tire per roller; also, each Spectrum scanner also utilizes 14 sets of transport rollers, which are not considered consumables because they can last between 5 to 10 million scans and rarely, if ever, need replacement.

Ultrasonic multifeed detection is the best way to prevent multiple documents feeding through the scanner at the same time. "Multifeeds" occur when information on the bottom page is lost because only the top page is scanned.

How Does it Work?

Ultrasonic multifeed detection from BÖWE BELL + HOWELL consists of two sensors: a transmitter below the paper transport and a receiving sensor above. The transmitter emits an ultrasonic wave through the document. Normally, only one document is being fed through at a time, causing this wave to pass through the paper and directly into the top sensor. See the illustration below.

If multiple documents feed through, small gaps of air get trapped between the pages. When the ultrasonic wave hits the combination of the air gap and additional paper, the signal falls below a certain threshold and the receiver interprets this as a multifeed. The scanner transport then stops and the user is notified that a multifeed has occurred so that it can be quickly resolved as soon as it happens. Thus, ultrasonic multifeed detection from BÖWE BELL + HOWELL ensures that no data is lost if multiple documents feed through simultaneously. See the illustration below.

Never Scan the Entire Batch Again Because of a Multifeed

Just detecting multifeeds is important, but users need a fast and efficient way to resolve them. Some scanners can tell you if a multifeed occurred but leave you with no way of solving the problem other than to have you scan the entire batch again, which is not only unproductive but may also cause more significant problems if imprinting or endorsing is required. Ultrasonic multifeed from BÖWE BELL + HOWELL actually works in conjunction with our hardware implementation of Kofax VirtualReScan" (VRS). So when a user encounters a multifeed, a VRS message pops up on the user's PC indicating that a multifeed has occurred. The scanner then pauses so that you can immediately remove the documents that multifeed. All you need to do is place the documents back into the feeder (so that they don't multifeed again) and then press the CLEAR button on the scanner. Feeding then starts automatically and VRS automatically deletes the bad image (one document scanned on top of another) and keep all good images in the proper order.

Old School vs. New School

Some claim that you should never stop scanning under any circumstances, including when the scanner detects a multifeed. We at BÖWE BELL + HOWELL believe that the best way to resolve a multifeed is to isolate it and resolve it immediately rather than to go through unnecessary effort of scanning batches multiple times and manually deleting bad images. Yes, this method may slow down throughput initially, but is sure to save you a lot of time on the back end. However, users that do not want their Spectrum scanner to stop on a multifeed can easily set the scanner to notify when a multifeed is detected (the scanner beeps and keeps scanning) or to ignore multifeeds altogether.

Ignore by Size

Exclusively from BÖWE BELL + HOWELL is the ultrasonic multifeed "Ignore by Size" functionality. This added intelligence allows you to scan items that other scanners may interpret as a multifeed, quickly and seamlessly without stopping.

Such formerly troublesome items include:

• Photographs - background sometimes separate from the image, creating an air gap
• Envelopes - often slit open so that contents can be removed; front, back and folds create air gaps
• Labels and Sticky Notes - are not usually affixed 100% to whatever placed upon, creating an air gap

The best way to set ignore by size, is to enter the maximum length of photograph, envelope or label that will be scanned and set the ignore length to a size a half inch or 10 mm higher. This is not an exact science, so you will not need to spend a lot of time estimating; if you enter a setting that doesn't catch everything, the scanner will simply stop, you can change the ignore by size setting and quickly reefed the document.

One vs. Many

The angled orientation of the Böwe Bell + Howell ultrasonic transmitter and receiver allows for coverage of the majority of the feeder's width. Some ultrasonic sensors on other scanners are oriented directly opposite each other. This can significantly reduce the width of coverage and necessitate the use of multiple ultrasonic sensor pairs oriented in this way to have the same coverage as a single, angled ultrasonic transmitter and receiver.

Ultrasonic vs. Length-Width and Infrared Detection

Other multifeed detect technologies exist but can easily be fooled. One such example is length and width multifeed detect. This methodology is flawed because users typically have multiple documents of the same size (length x width) in any given batch, even if they have many other different sizes. As a result, it is inevitable that two documents of the same size will feed through simultaneously, with one directly on top of the other such as when documents are taped together, stapled together, or stuck together because of static electricity. This type of multifeed will be missed with length and width detect.

Another multifeed technology is infrared detection, which detects doublefeeds when a manual thickness parameter is exceeded. This method requires users to guess the maximum thickness of documents being scanned. The theory is that when two documents feed through, the maximum thickness parameter will be exceeded and the scanner will signal a multifeed. This methodology breaks down when users scan batches having mixed document thicknesses, such as when one scans invoices or NCR paper (very thin) along with normal office paper (thicker bond paper) or cardstock. In these batches, the maximum thickness setting a user enters may be thicker than that of the combined thickness of an invoice and a piece of bond paper that feed simultaneously, resulting in a missed multifeed. Alternatively, users may set their infrared thickness setting lower, which could then trigger false multifeeds when individual sheets of thicker paper feed through.

A Limitation

It is important to know that there is an ultrasonic multifeed limitation: with the scanner's feeder guides all the way open (to allow for documents up to 11.7" or 297 mm in width), there is a possibility that a document less than 3" or 76 mm in width, such as a check or receipt, may not be detected if fed all the way to the left or right side of the feeder input tray. However, from our experience, these occurrences tend to be rare in most production scanning environments. Additionally, users can minimize the risk of this limitation occurring by making sure all documents are centered prior to scanning.

VirtualReScan (VRS) is a combination of hardware and software used for image enhancement and for scanner operators to quickly and easily handle things like multifeeds and jams. There is no better way to maximize scanning productivity than utilizing VRS. In addition, because the Spectrum 8000 Series utilizes Hardware VRS, users can enjoy all the benefits of VRS with up to 80% faster scanning throughput over other scanners that only work with Software VRS. The reason for this is that Spectrum does the vast majority of intensive image enhancement processing in hardware, within the scanner, while scanning with Software VRS relies on your PC for all processing functionality, thus causing your PC to become an imaging bottleneck.

The Kofax Adrenaline SCSI with Advanced Image Processing Engine (AIPE) adapter is included with each scanner. The Kofax Adrenaline 650i MV w/AIPE SCSI for use with the 8080 models, and a Kofax Adrenaline 650i HV w/AIPE SCSI for use with the 8100 and 8125 SCSI models. (The appropriate Kofax SCSI adapter is included and shipped with the scanner.)

Some basic settings that affect the throughput of your scanner speed, rated in pages per minute (PPM) include:

Paper size - the longer the paper, the longer it will take to scan

Paper orientation - documents take longer when scanned in portrait mode; today, many software applications like VRS can be configured to rotate the image as the document is scanned so that they can be scanned long-edge first while displayed on the screen correctly

Resolution, rated in dots per inch (dpi) - The higher the dpi setting, the longer it takes to scan any given page.

All BÖWE BELL + HOWELL scanners require a Kofax Adrenaline 650i SCSI board to interface the scanner with the PC. Determining what 650i board you have or need depends on the scanner model.

All Spectrum Series models (bitonal and color) ship with a 650i board right in the box, so you don't even have to worry about what type it is. The Spectrum 1 / 2Series uses two different types of 650i boards, one for the 8080 model(650iMV) and one for the 8100/8125 models (650iHV). All 3 models forthe Spectrum XF Series use one 650i. See the table below for a summary.

Kofax 650i Adrenaline boards need to be purchased separately and are not included for the 730DC and Sidekick 1200 and 1400 models or the Truper 3200.

To view your scanner's model number, turn the scanner on or, if already on, press the CLEAR button on the front panel. In the lower left-hand corner of the scanner's LCD display, you will see the model number. Match up this model number with the one listed in the first column in the table below.

To see what firmware version resides on your scanner, just click the left arrow key on the front panel of the scanner until you see "Code Revision Numbers" on the LCD display – then click the "F3" key for "Next" and the firmware version will be displayed above "Scanner Rev." If the scanner displays a number less than 2.0, then match up your scanner's model number with the upgrade you would like in columns 2-4. If the scanner displays a number equal to or greater than 2.0, match up your scanner's model number with the upgrade you would like in columns 5-6. Interactive- to be able to interact with the image before it is passed to the application

Return - VRS will return any error to the application to be handled within the application

Ignore - VRS will ignore the error from the scanner.

It depends on whether or not your application has been modified to work with Auto Color Detect. If you write imaging software and have not yet made this modification, please see the instructions starting in the next paragraph below. ISIS Application Modification

With Auto Color Detect engaged, some images within a batch are returned as JPEG-compressed color while others are returned as uncompressed bitonal. Both types of images are output as TIFF files. The important thing to know is that ISIS processes images through pipes, so you need to create the right pipe. Since you want to save some images as color JPEG and other images as binary CCITT Group IV compression, you can't create any one pipe to do this. You need to split the process into two pipes. There is an image library called PIXM that makes this very easy.

First, you need to create a pipe to scan a page into PIXM (a PIXM_PAGE). Then create another pipe to "scan" from the PIXM_PAGE to a file. After scanning into the PIXM_PAGE, you can get basically any kind of image that you want and can query the PIXM_PAGE to see what kind of image it already is. That helps you to create the second pipe.

For example, create a pipe to scan a PIXM_PAGE. Scan a page and then look at the PIXM_PAGE to determine if it's a color or binary image. Then create a pipe to scan from the PIXM_PAGE to a file and use any compression in-between that is desired. For image display, you can either display the PIXM_PAGE after scanning into it, or else open the final saved image and display that. Either way, you'll put the image into a PIXM_PAGE for displaying since that is how the display library works.
